Privacy Policy

This Privacy Policy describes how MyShipPilot LLC ("MyShipPilot", "we", "us", or "our") may collect, use, and share information when you visit myshippilot.com, use our shipping software, or use our app with a connected commerce platform such as Shopify (collectively, the "Service"). It applies to information we process as a business in the course of providing the Service, and it is subject to applicable law.

When a merchant connects a store, MyShipPilot generally acts as a service provider or processor for that merchant with respect to their customers' information, and the merchant's own privacy policy governs their relationship with their customers.

1. Information we collect

  • Account and business information — name, email address, password credentials managed by our authentication provider, business or company details, and account settings.
  • Contact information — email address and, where you provide it, a phone number.
  • Sender and recipient shipping information — names, street addresses, cities, states, postal codes, countries, and, where provided or required for shipping or tracking notifications, email addresses and phone numbers.
  • Connected store information — the store domain, store identifiers, authorization status, and the access credentials our systems need to communicate with the platform on the merchant's behalf.
  • Connected store order and customer information — order and fulfillment details together with the shipping-related customer information described in Section 3.
  • Package and shipment information — weight, dimensions, packaging type, declared contents or value where you provide them, service selections, and measurement data you choose to capture with our measurement tools.
  • Shipping labels and tracking information — label documents and identifiers, tracking numbers, and carrier tracking scans and status updates.
  • Billing and transaction information — amounts, currency, transaction and receipt records, refunds, carrier adjustments, and limited payment-method details (such as card brand and last four digits) returned to us by our payment processor. Full payment card numbers are submitted directly to our payment processor and are not stored on MyShipPilot systems.
  • Device, browser, and log information — IP address, browser and device characteristics, request and error logs, and similar technical data generated when you use the Service.
  • Customer support communications — messages, form submissions, and related records when you contact us or use in-product support features.

We do not intentionally collect government identification numbers, payment card numbers, or sensitive categories of personal information, and we ask that you not submit them through support channels.

2. How we use information

  • Provide shipping quotes and carrier rates.
  • Create, purchase, and reprint shipping labels.
  • Import orders from a connected store you have authorized.
  • Process, organize, and manage shipments, including batch shipping.
  • Provide tracking and, where enabled, send tracking notifications.
  • Send shipment and tracking information back to the connected store where supported.
  • Process payments, refunds, and carrier adjustments.
  • Detect, investigate, and help prevent fraud, abuse, and prohibited use.
  • Maintain the security, availability, and integrity of the Service.
  • Provide customer support and respond to your requests.
  • Comply with legal, tax, accounting, and carrier requirements.
  • Operate, troubleshoot, analyze, and improve the Service.
  • Send service, transactional, and account-related messages.

We do not sell personal information, and we do not use connected-store customer information for advertising or for unrelated marketing purposes.

3. Shopify merchant and customer data

When a merchant installs or connects MyShipPilot to Shopify, we access store information only as necessary to provide the app's shipping functionality. What we import is limited to what shipping requires: the order and fulfillment details, the customer's name, the shipping address, an email address where it is needed for shipping or tracking notifications, and a phone number where a carrier or the order requires one.

We use this information to rate shipments, purchase labels, fulfill and track orders, send tracking information back to the store, provide support, help prevent fraud, and meet legal, tax, and accounting obligations. We do not use it for advertising, unrelated marketing, or unrelated analytics.

We support the platform's privacy request notifications, including customers/data_request, customers/redact, and shop/redact. In plain terms: when a store owner passes along a customer's request for their data, we provide the shipping-related information we hold about that customer to the merchant; when a customer deletion request is received, we delete or anonymize the customer's personal details in the order records we imported; and when a store is uninstalled or requests deletion, we stop importing data and delete or anonymize the store's imported customer information after a short grace period. In each case we may retain limited transaction records without personal details where we are required or permitted to keep them for tax, accounting, dispute, or fraud-prevention purposes.

If a merchant disconnects the app, the credentials we hold for that store are removed from active use and the imported customer information is deleted or anonymized on the schedule described in Section 8.

4. Shipping carriers and service providers

To produce a rate, label, or tracking update, we transmit the shipment details a carrier requires — such as sender and recipient address, package weight and dimensions, and service level — to the selected carrier or to the shipping technology provider that connects us to carriers. Carriers process that information under their own terms and privacy practices.

We also use vetted service providers to operate the Service, including providers for carrier connectivity, payment processing, hosted database and authentication infrastructure, transactional email delivery, website and advertising analytics, and AI-assisted support features. Service providers are engaged to use the information only as necessary to provide services to MyShipPilot.

5. Payment processing

Payments are processed by a third-party payment processor. Payment card details are submitted to that processor and are not stored on MyShipPilot systems. We receive and store transaction records and limited payment-method identifiers so we can complete purchases, issue refunds to the original payment method where applicable, bill carrier adjustments you have authorized, and support disputes. Where you authorize us to charge a saved payment method for later carrier adjustments, we record that authorization and the terms version presented to you at the time.

6. Cookies and similar technologies

We use cookies and similar technologies, including browser storage, for essential purposes such as keeping you signed in and maintaining your session, and for analytics and advertising measurement where enabled. Most browsers let you block or delete cookies; blocking essential cookies may prevent parts of the Service from working. See our Cookie Policy for more detail.

7. How information may be shared

  • With carriers and shipping technology providers, as needed to rate, ship, and track.
  • With service providers acting on our behalf, as described in Section 4.
  • With the connected commerce platform and the merchant who authorized the connection, as needed to fulfill orders and return tracking information.
  • With payment processors, as needed to charge, refund, or resolve a dispute.
  • Where required or permitted by law, legal process, subpoena, or governmental request, or to protect the rights, property, safety, or security of MyShipPilot, our users, or others.
  • In connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to applicable law.
  • With your direction or consent.

We may also share aggregated or de-identified information that does not reasonably identify an individual.

8. Data retention

We keep information for as long as reasonably necessary for the purposes described in this policy, and longer where a legal, tax, accounting, or dispute-resolution obligation applies. Our current practice is to keep customer information imported from a connected store for up to 180 days after import and then delete or anonymize it, and to bring that deadline forward after a store is disconnected or uninstalled following a short grace period. Transaction and financial records are generally retained for up to seven years for tax, accounting, and dispute purposes; where those records include recipient personal details, we may anonymize those details at the end of that period. Operational records such as logs, quote history, and delivery diagnostics are kept for shorter periods. Retention practices may change as our legal obligations and operational needs change.

9. Data security

We maintain administrative, technical, and organizational safeguards intended to protect information appropriate to its sensitivity, including encryption of traffic in transit, encryption at rest provided by our hosting infrastructure, role-based and row-level access controls, access logging for privileged actions, and multi-factor authentication for administrative access. No method of transmission or storage can be guaranteed to be completely secure, and we do not represent that the Service is immune from all risk. You are responsible for keeping your credentials confidential and for the activity that occurs under your account.

10. Privacy rights

Depending on where you live, you may have rights to request access to, correction of, portability of, or deletion of certain personal information, and to appeal a decision about your request. Many of these actions can be completed directly in your account settings. You may also contact us at privacy@myshippilot.com. We may need to verify your identity or your authority to make a request, and we may decline or limit a request where an exception or a legal retention obligation applies. If your information was provided to us by a merchant through a connected store, we will generally direct your request to that merchant, who controls the underlying data.

11. California privacy rights

Where the California Consumer Privacy Act, as amended, applies, California residents may have the right to know the categories and specific pieces of personal information we collect, the categories of sources and of third parties with whom we share it, and the purposes described above; to request deletion or correction; and to be free from discrimination for exercising these rights. We do not sell personal information and we do not share personal information for cross-context behavioral advertising as those terms are defined by that law. California residents may submit a request to privacy@myshippilot.com, subject to verification.

12. Children's privacy

The Service is intended for businesses and is not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has provided information to us, contact us so we can take appropriate action.

13. International users and U.S. processing

MyShipPilot is operated from the United States, and information we process is generally stored and processed in the United States. If you access the Service from outside the United States, you understand that your information may be transferred to and processed in the United States, where privacy laws may differ from those in your jurisdiction.

14. Changes to this Privacy Policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date above, and we may provide additional notice where appropriate. Your continued use of the Service after an update indicates your acceptance of the revised policy.
